Wellspect Healthcare - Tracings Report

Introduction

Our Healthcare division company Wellspect, tracing reports are sales reports that delineate the unites sold of a sales representative territory selling a set number of healthcare products to Hospitals and Personal orders. Currently, Wellspect is using a system that is hosted by a third party using WordPress, in order to generate these reports. However, the problem lies in the fact that the Information Technology Dept. does not have administrative access to this third party system, making it difficult for IT to administer the system, create new accounts, and edit existing accounts. This creates a need for the company to have a dedicated application that could help the IT Dept. to filter the reports through the company's own zip code database system, and not have to rely on the third party app, which is also very expensive.

Research

Contextual Inquiry: Observing the user on the third-party system how the Tracing reports are obtained and loaded on to the system. What format are they in how does the third-party application work, what does the user get out of it.

  • The application needs to allow end users to submit Tracings report files electronically, via Intranet to a server hosted within the company
  • Information Technology group needs access to administer user access control
  • Anticipating risks and potential quality issues

The Tracing reports are gathered by the end user, the user will then massage the data re-format it so that the third-party application can accept it. This is typically an Excel format file. The format for the third-party web application can only accept if it has predetermined columns. So, therefore the end user will need to massage the data.

Then logging into the system is an additional step as this system does not require LDAP or (Single Sign On). Once the Tracings are uploaded then compares to the Sales Representatives database then the reports are then uploaded onto our internal Sales Zip Code database to make sure that the zip codes are correct.

Design Final

The first phase of the project is to migrate the data from the third-party web application database to a SQL database hosted internally. Second phase create a web application where end users can upload reports and compare to zip codes database. Then the sales representatives are commissioned on those sales numbers. This is a test to see if bringing the data in the company gave us the same results as the third-party vendor.

The final design was to create a web application that would accept the users Tracing reports, so to do this an Excel template would need to be created. This would cut down on time for the user to manipulate the data and cut back on errors. This template was created once the uploads with previous data was correct then this template was sent to the vendors that collect the sales reports. The final design of the web application was to have certain functions that were not available in the third-party application. As well as single sign on using LDAP connection, this will allow IT department to manage the system. The Tracing Web Application (TWA) was received a successful project
